BOOKING TERMS & CONDITIONS
FOR LAND AND CRUISE ARRANGEMENTS
 

RESERVATIONS AND PAYMENTS: A non-refundable deposit of $400 CAD per person is payable at the time of booking. Final payment is required 45 days prior to departure. For bookings made within 45 days of departure full payment is due immediately. Some cruises and land arrangements require a larger deposit - the amount and specific payment schedule to be advised at time of booking.

CREDIT CARD PAYMENTS: You may use American Express, MasterCard, Visa and Diners Club cards to make a deposit and/or final payment whether by a written or verbal authorization. By giving your verbal authorization you also agree to subsequently sign a written draft. Payment indicates your agreement to the terms and conditions in this brochure. All credit card payments are subject to a 3% fee.

CHANGES TO RESERVATIONS: If you wish to alter your confirmed travel arrangements 45 days prior to departure - Valhalla Tours will try to satisfy your request. A $300 CAD change fee will apply. Changes 44 days or less prior to departure will be treated as a cancellation, subject to cancellation charges. No name changes will be accepted at any time.

SERVICE AND HANDLING FEE: $20 CAD per file.
CANCELLATIONS: If cancellation is necessary, please advise your travel agent as soon as possible. Cancellation charges: Prior to 45 days - $400 CAD, 44 days or less - 100% of the price. Exceptions may apply.

INSURANCE: We strongly advise you to purchase the appropriate insurance coverage to protect your trip. Ask your travel agent for more details.

BROCHURE ACCURACY: Valhalla Tours has attempted to make this brochure accurate. However, changes might occur for reasons beyond the control of Valhalla Tours. The right is reserved to substitute hotels or change the itinerary when necessary, provided the travel facilities or other services are of at least the same standard or value.

TRAVEL DOCUMENTS, VISA- AND HEALTH REQUIREMENTS: It is the traveler's responsibility to determine what documentation is necessary for each country to be visited. All Canadian and US citizens require valid passports when traveling abroad. It is recommended and sometimes necessary that a passport have a minimum of 6 months to expiry in order to obtain visas for certain countries. If your travel documents are not in order, you may be refused boarding in which case you will be responsible for any costs that may incur as a result of such refusal. No tour refund will be issued.
PRICES quoted herein are based on current rates and are subject to change without notice. Should tour costs increase, Valhalla Tours has the right to increase the price accordingly. If the price change is more than 7% of the total price for the travel services (except for a price change that is a result of Government Taxation), you are entitled to cancel if you wish, with full refund. You must notify us of your intention at least 48 hours after notification or if the change is a last minute change - within 24 hours of notification.
Where a tour package includes air - the price may be based on a seat sale / promotional airfare which may not always be available at time of booking. A surcharge may therefore be added to the tour price.

UNUSED TRAVEL SERVICES: No refund can be made for prepaid and unused travel services, nor can they be exchanged for alternative arrangements.

HOTELS: Rooms with private facilities in First or Tourist class hotels - unless stated otherwise. The right is reserved to substitute hotels for a similar category should this become necessary due to circumstances beyond our control.

CHANGES IN ITINERARIES: in the event of unusual circumstances such as extreme weather conditions, mechanical problems or other problems beyond the control of Valhalla Tours and their suppliers, there can be changes in the itineraries, within the discretion of our local representatives. We reserve the right to cancel a tour or modify the arrangements you have purchased, if necessary in our opinion. In the event of cancellation, our liability will be limited to the purchase price of the tour. We shall not be liable for any claims, losses and damages of any kind whatsoever arising from modification or cancellation of the travel arrangements. We do not assume responsibility for any claims resulting from substitution of services or suppliers.

FORCE MAJEURE: We shall not be liable for any claims, losses, damages, costs, expenses, delays or loss of enjoyment of any nature or kind whatsoever, resulting from events beyond our or a supplier's reasonable control, including but not limited to acts of God, strikes, lockouts or other labor disputes or disruptions, wars, blockades, insurrections, riots, earthquakes, weather condition, floods or acts or restraints imposed by government authorities.
Some hotel, land and air reservations are arranged by local tour operators who reserve the right to make alterations and adjustments to itineraries when necessary. Valhalla Tours has no control over this and assumes no responsibility when such changes are made.
For airfares and air-inclusive packages different conditions may apply. Ask us for specific details.

OPERATORS RESPONSIBILITY: 12345 Alberta Limited doing business as Valhalla Tours, its agents and/or suppliers of services act only as agents for the traveller and accept no responsibility for the services of any hotel, aircraft, vessel, train, motor coach or any other conveyance used in connection with these tours, nor any delays, loss or accident to travelers or baggage caused by such services, from whatsoever cause. In the event it becomes necessary due to schedule changes by the airlines or for the comfort or well-being of the passengers or for any other reason to alter the itinerary or the arrangements - such alterations may be made without penalty to the operator and the extra cost, if any, resulting therefore shall be paid by tour members. Conversely, refunds will be made to passengers if any savings are effected thereby. The right is reserved to cancel any tour, at any time. Acceptance of the initial service to be provided under the tour shall be considered an acceptance of all these conditions. There may be different living standards and practices and different standards and conditions with respects to the provision of utilities, services and accommodation outside Ontario . Climate conditions may affect the provision of services and the accommodation included in our tours. Accommodations offered in the tours are, to the best of our knowledge available at the time of printing, accurately described.

AIRLINES CLAUSE: The airlines concerned are not to be held responsible for any act, omission or event during the time passengers are not on board the aircraft. The Passenger Ticket in use by airline(s) when issued constitutes the sole contract between the airline(s) and the purchaser of the ticket and/or passenger.
